How to import the IIF file into QuickBooks Desktop
Back up your company file. QuickBooks can't undo an IIF import.
Go to File, then Utilities, Import, IIF Files.
Select the .iif file you downloaded here. If QuickBooks asks how you want to import it, choose the option that imports the file straight away.
Open the account's register to check the new transactions, then recategorize them from the uncategorized accounts as needed.
If your QuickBooks still accepts Web Connect files, you can import the QBO file directly instead and review it in bank feeds.
How the transactions are recorded
Each payment becomes a check, and each deposit becomes a deposit, on the QuickBooks account you name. For a credit card, charges become credit card charges and payments or refunds become credit card refunds.
Every transaction needs a second side in QuickBooks, so payments are balanced against Uncategorized Expense and deposits against Uncategorized Income unless you choose other accounts. After importing, you can recategorize them in the register or with a report.
When you need IIF instead of QBO
Intuit switches off online banking services, including Web Connect imports, for QuickBooks Desktop versions that are past their support date. IIF imports keep working in those versions, so converting your bank's QBO download to IIF lets you keep bringing transactions in.
IIF is also handy when you want transactions posted straight to your register without matching each one in bank feeds, for example when entering history you've already reconciled.
